Read moreHotels combine meeting rooms, ballrooms, catering, a licensed bar and guest rooms under one roof, which makes them the simplest choice for conferences, multi-day meetings, galas with out-of-town guests and weddings where the party stays overnight. The range in this category is wide, from large downtown properties such as the Fairmont Royal York to resorts in Muskoka and airport hotels in Mississauga suited to delegates arriving by air. Hotels also tend to have experienced banquet teams who handle room turns, dietary requirements and timing as a matter of routine.
Hotel event contracts contain terms that rarely appear elsewhere, and they carry real money. The food and beverage minimum is the amount you must spend on catering and bar before tax and service; room rental may be reduced or waived if you meet it. The service charge is added to food and beverage, and in Ontario HST applies both to the food and to that service charge. If you take a room block, the contract will set a cut-off date and usually an attrition clause, which charges you if your group books fewer rooms than agreed.
Downtown hotels offer transit access and walkability but often expensive parking and tight loading docks with booked time slots. Suburban and airport hotels usually have more parking and easier loading, but guests may need a car or shuttle. Resort hotels in Muskoka or Niagara suit retreats and destination weddings, but travel time and seasonal demand affect cost and planning. Use the transit access filter if guests will arrive by TTC or GO Transit. For the contract language, read the attrition and room block entries before signing.
