Event budget calculator

Split any budget into venue, food, entertainment, décor, photo, print and contingency using GTA cost ratios.

Enter a total and a guest count. The calculator splits it the way GTA events actually spend, sets aside contingency and HST, and shows the cost per guest.

Splits reflect typical GTA cost ratios by event type. HST is estimated on taxable vendor spend; most Ontario vendors quote before tax.

Using the calculator step by step

Start with the total you can commit, including tax. Enter your best estimate of the guest count; if you are not sure yet, run it twice with a low and a high number. Choose the event type that fits most closely, then set contingency. Ten percent is a sensible default for most events, rising to fifteen for outdoor events, first-time events or anything involving tents, permits and weather. The calculator then splits what remains across the main categories and sets aside an estimate for HST.

What the numbers mean

Each line is a target, not a quote. It tells you roughly what you can afford to spend on that category if the rest of the budget behaves normally. The per-guest figure is the most useful single number: if it comes out at sixty dollars and every venue you like needs a hundred and twenty a head in food and beverage minimum, you know immediately that either the guest list, the venue type or the total has to change. Use it to have that conversation early, before deposits are paid.

The assumptions behind it

The splits reflect typical spending patterns for each event type in the GTA. Weddings put more into venue, food and photography; corporate events spend more on AV and entertainment; kids' parties weight heavily toward entertainment and activities. HST is calculated at 13 percent on taxable vendor spend, on the assumption that most vendors quote before tax. Catering and bar service charges are not shown separately, so if your caterer adds one, it will come out of the food and beverage line. The Academy lesson on HST, gratuities and service charges explains how these interact.

Common mistakes and when to use it

The usual mistakes are entering a pre-tax total, setting contingency to zero, and treating the output as fixed after the first quote arrives. Use the calculator at the very start, when the budget is still a single number, and again after the venue is booked to rebalance the remaining lines. Then move the figures into the event budget sheet to track quotes and actuals, and check the all-in figure with the cost per guest calculator.
