If you are starting late
A compressed timeline is possible, but it changes the order of priorities. With three months or less, secure the date and venue in the first week, even if that means a weekday, a January date or a lunchtime event. Book entertainment and the DJ in the same fortnight, because the most popular December dates disappear quickly. Send a save-the-date immediately and combine the invitation and RSVP into a single message. Keep décor simple and rely on the venue's existing look, and choose a set menu rather than a custom one so the caterer can confirm quickly.
Decisions that hold up everything else
Three decisions stall more holiday parties than any others: whether partners are invited, what the budget per head really includes, and who signs off on the final choices. Settle them in writing before you contact venues. The partner question roughly doubles or halves your headcount, and with it the size of room and the cost. A per-head budget that does not say whether HST, gratuity and entertainment are included will cause a revision later. And a committee with no single decision-maker will lose dates while it debates.
Weekly tasks in the final month
- Four weeks out: send a reminder, confirm AV and the run of show draft, and order any printed items still outstanding.
- Three weeks out: confirm transport home for guests, such as a shuttle or rideshare credits.
- Two weeks out: close RSVPs, send final numbers and dietary needs to the venue, and finalise awards and speeches.
- One week out: share the final run of show with every vendor, confirm arrival times and brief the MC.
- The day before: print copies of the run of show and the contact sheet, and pack the emergency kit.
Weather and the season
December in the GTA brings early darkness and the possibility of snow or freezing rain. Build a coat check into the plan, keep entrances clear and well lit, and have a policy for postponement if a major storm is forecast. Agree with the venue in advance what happens to your deposit if the event must be moved for weather. The timeline generator produces dated milestones from your party date, and the holiday party venue guide lists what to ask when booking.
