Read moreA fundraiser is judged by one number above all: net proceeds, the money raised after costs. Every planning decision, from the venue to the menu to the entertainment, should be tested against whether it helps raise more or spend less. Guests are attending to support a cause, but they still expect a well-run evening, and a fundraiser that feels poorly organised can affect donations for years. The best fundraisers combine a clear story about the cause, a short, well-paced program and an ask that feels natural rather than forced.
Fundraisers in Ontario raise money in several ways: ticket sales, sponsorship, table sales, live and silent auctions, raffles and direct donations during a paddle raise. Raffles and other lotteries require a licence, issued by your municipality or the AGCO depending on the type and prize value; check the rules well before the event, as unlicensed raffles are not permitted. If the organisation is a registered charity issuing tax receipts, follow Canada Revenue Agency rules, which generally limit the receipt to the amount paid above the value of what the donor receives, such as a meal or auction item. Get advice from your accountant if you are unsure.
Keep the program focused. A typical sequence includes a welcome, a short story about the cause, dinner, the auction or paddle raise and a closing. Entertainment can support the evening: a roaming act during the reception encourages guests to mingle and visit the silent auction, and a short stage act after dinner can lift energy before the ask. Avoid placing performances where they compete with the main fundraising moment.
Stewardship begins the day after. Thank donors, sponsors, volunteers and vendors promptly, report the amount raised and what it will do, and announce next year's date early. The cost per guest calculator shows break-even, the gala budget guide covers typical costs and the sponsorship deck template helps you sell packages for next year.
