How it works in practice
Every program has one moment when the room is fullest, most rested and paying the most attention. The headliner belongs there. At a seated dinner that moment usually comes after mains are cleared and before dessert, the ask or the dance floor. Earlier, guests are still eating and servers are still working the floor. Later, the energy has gone to the bar and the restless have started leaving.
The headliner is never placed over dinner service. Cutlery, plate clearing and servers crossing sightlines will flatten even a strong act. If the kitchen runs late, the act waits. Build that buffer into the run of show rather than pushing the performer on stage over a half-served room.
The MC introduces the headliner, every time. A cold start with no introduction costs the act its first two minutes while the room figures out what is happening.
How to handle it

- Decide what the headliner is for: entertainment only, or warming the room before a fundraising ask or award.
- Confirm the set length in the contract, usually 20 to 45 minutes for a stage act.
- Send the tech rider to the venue and AV company the day you receive it.
- Lock the cue time with the catering captain so plates are cleared before the act goes up.
- Brief the MC with a short, accurate introduction the performer has approved.
- Hold the bar and service staff away from the front of the room during the set.
In Ontario and the GTA
For a stage illusionist or mentalist doing 30 to 45 minutes, the typical GTA range, 2026, is $1,500 to $5,000. A four-piece live band runs roughly $2,500 to $6,000 for the night. At the Harbour Gala, the mentalist set sits right before the paddle raise so the room is focused and warm when the auctioneer takes the mic. If you search the directory, note that listings owned by the site founder carry a visible disclosure and get no ranking preference.

Why it matters
The headliner's timing shapes the whole run of show; after mains, before the ask or the dancing.
Example
A 30-minute illusion show as the gala headliner at 20:05.
Common mistakes
- Putting the headliner last, after guests have left
