Event planning quizzes & Finders

Quizzes & Finders: guides, ideas and tools from EventPlans.ca for planning events in Toronto and the GTA.

What the finders are for

The quizzes and finders are the fastest way to turn a vague idea into a shortlist. Each one asks a handful of questions you can answer in under a minute and returns categories, themes or venues rather than a single answer. They are built for the early stage of planning, when you know the guest count and the occasion but not yet the shape of the evening, and they are just as useful later when a client changes the brief and you need to test a new direction quickly.

How to get honest results

Answer with the event you actually have, not the one you hope for. If the ballroom ceiling is under four metres, say so, even if you have your heart set on aerial silks; a finder that knows the real constraint will point you to acts that fit the room. The same applies to budget. Enter the figure you could sign today, before HST, rather than a stretch number, and treat the results as a starting point for conversations with vendors, not as quotes.

Run a finder more than once. Changing one answer at a time, such as moving from a seated dinner to a cocktail reception, shows you which decision is driving the result. That is often the most useful thing a quiz can teach you: which single choice opens or closes the most options.

Where they sit in the planning timeline

  • Six to twelve months out: use the venue matchmaker to build a shortlist before site visits.
  • Four to six months out: use the party theme generator to settle a concept you can brief to décor and catering.
  • Three to four months out: use the entertainment finder once the venue and run of show are fixed, because ceiling height and program position decide what will work.

What to do with the results

Save the results to My Planner, then move to the matching calculator or template. A venue shortlist leads naturally to the venue capacity calculator; a theme leads to the creative brief; an entertainment category leads to the Directory, where you can compare acts, check insurance and request quotes. The finders narrow the field. The calls you make afterwards, with the real dates and the real room, are where the decision is made.
